This Privacy Policy describes how CalenTick collects, uses, and protects personal information when you visit our website, create an account, or use our AI scheduling, WhatsApp booking, and AI voice booking services.

CalenTick (operated by CalenTick Inc., “CalenTick,” “we,” “us,” or “our”) provides an AI-powered meeting and appointment scheduling platform spanning website booking pages, WhatsApp booking, an AI booking assistant, and an AI voice receptionist. We are committed to handling your personal information responsibly and transparently. By using our website or services, you agree to the practices described in this Privacy Policy, which forms part of our Terms of Service.

Information we collect

We collect the following categories of personal information, depending on how you interact with CalenTick:

  • Account and profile data — name, email address, password (stored in hashed form), company name, role, time zone, and any details you add to your booking pages.
  • Booking data — information you and the people booking with you provide when scheduling, such as names, email addresses, phone numbers, appointment types, notes, and answers to intake questions.
  • Billing data — billing contact details and subscription records. Payment card details are handled directly by our payment processor and are not stored on our servers.
  • Communications — messages you send us for support, sales, or other inquiries.
  • Technical and usage data — IP address, browser and device type, pages viewed, referring URLs, and similar diagnostic information collected automatically when you use the website or app.

How we use it

We use personal information to operate and improve CalenTick, including to:

  • provide, maintain, and secure your account and the scheduling services;
  • create and manage bookings, send confirmations, reminders, and reschedule or cancellation notices;
  • power AI features that read messages and voice notes to check availability and book on your behalf;
  • process payments and manage subscriptions;
  • respond to your requests and provide customer support;
  • analyze usage to improve performance, reliability, and product features;
  • detect, prevent, and address fraud, abuse, and security incidents; and
  • comply with legal obligations and enforce our agreements.

Calendar & messaging data

To deliver core scheduling functionality, CalenTick connects to your calendar and messaging accounts with your permission. When you connect a calendar provider such as Google Calendar or Microsoft Outlook, we access free/busy availability and event details needed to prevent double-booking and to create, update, or remove events. When you enable WhatsApp booking, our AI booking assistant, or the AI voice receptionist, we process message content, voice note audio, and call interactions for the limited purpose of understanding a booking request, checking availability, and confirming an appointment.

We do not use the content of your calendar events, messages, or calls to build advertising profiles, and we do not sell this information. You can disconnect a connected calendar or messaging integration at any time from your account settings, which revokes our ongoing access. Audio from voice interactions may be transcribed to text to complete a booking and may be retained as described under “Data retention.”

Cookies & analytics

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the website and app are used. These include strictly necessary cookies required for the service to function and analytics cookies that help us measure traffic and improve the product. You can control cookies through your browser settings; disabling some cookies may affect how the service works. Where required by law, we present a cookie consent choice. We use a privacy-conscious analytics provider and do not run third-party advertising trackers on authenticated areas of the app.

Sharing & sub-processors

We do not sell your personal information. We share it only with service providers (“sub-processors”) that help us run CalenTick, and only as needed for them to perform services for us under contract. These include providers for cloud hosting and storage, calendar and messaging integrations (such as Google and Microsoft), WhatsApp messaging infrastructure, voice and telephony, email and SMS delivery, payment processing, and analytics. We may also disclose information when required by law, to protect our rights and the safety of users, or in connection with a merger, acquisition, or sale of assets, in which case we will notify affected users.

Data retention

We retain personal information for as long as your account is active or as needed to provide the services, and afterward only as necessary to comply with legal obligations, resolve disputes, and enforce our agreements. Booking records may be retained to maintain accurate scheduling history. When data is no longer needed, we delete or anonymize it. You can request deletion of your account and associated data as described below.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of certain U.S. states have additional rights under laws such as the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), and comparable state privacy laws. These may include the right to know what personal information we collect, the right to delete it, the right to correct it, and the right to opt out of “sale” or “sharing” of personal information. We do not sell personal information, and we will not discriminate against you for exercising your privacy rights. International users

CalenTick is operated from the United States. If you access the services from outside the United States, your information will be transferred to and processed in the United States and other countries where we or our sub-processors operate, which may have data protection laws different from those in your country. Where required, we rely on appropriate safeguards for international transfers using recognised safeguards.

Security

We use technical and organizational measures designed to protect personal information, including encryption in transit, access controls, and regular monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You can learn more about our practices on our security page. If you believe your account has been compromised, please contact us immediately.

Children

CalenTick is intended for business use and is not directed to children. We do not knowingly collect personal information from children under the age of 13 (or the minimum age required in your jurisdiction). If you believe a child has provided us with personal information, please contact us so we can delete it.

Changes

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of CalenTick after changes take effect constitutes acceptance of the revised policy.
